  1.  Issuing a new staff ID  

       Discussed about issuing a new staff ID. 

-          At present we have given a Digana address. This can be a matter for questioning when coming to Akurana.  So, either we can give both addresses or to leave out the address. (Digana /Akurana)

-          TH will send a new format for the ID

-          Will provide related details & photos by FS

  Compile into a folder (Name/ NIC No/Photos/Emergency contact No)

-          Open a new card in TB for this and when done and Issued RZ responsible to mark as Issued.

 

2.   Duties of Admin/HR/Legal person

      Discussed the duties prepared by RZ & updated by FS

-          Decided to come up with a tasks list for each. From that will check what task is completed, what is in progress and what is needed to complete. For this will go through the 6 months reports & last 6-month monthly reports of RZ, TH, FS

FS responsible for preparing RZ & TH to give their feedback.

 

3.   Recruitment

      Already have decided and Advertised for Admin/HR/Legal/Accounts Assistant.

-          Assistant Accounts personal - We need a person to maintain petty cash, record keeping of all bills, Vouching, filing , & other related accounting work. Since this can be done under the supervision of RZ even a A/L student would do. We have already sent the Ad. Under Registered post to 6 schools . RZ has called 4 schools but there was no response.

-           RZ has received.2 applications via whatsapp for Management/Accounts/HR.

2.      Udara - 0778227879 No Answer.    RZ to follow-up

 

-          Legal Intern - RZ took the responsibility to handover the legal intern advertisement to a few known Lawyers office  down Colombo Street to request them to put it on their notice board. FS Shall prepare a Legal intern Ad ASAP & forward to TH for his feedback.

      

4. Trello Boards

-          FS took the responsibility to update the Admin / HR, Legal boards, and to be monitored by TH & RZ.

-          Work Reporting - In Progress

 Attendance & work reporting after RZ sent a mail requesting to update there is progress. Even though one or two people are not attending to it. As a second reminder RZ will send another email to all the staff members to fill their work reporting board ASAP

 

5.  Disinfecting the Digana Office

-          Can't do this at the moment. When the office reopens, this will depend on the NH report.
